At ICEHOTEL, we process your personal data in various contexts, e.g., when you order services from us, visit our bar, use services we provide, and in other situations. We process your personal data in accordance with the applicable Swedish data protection regulation, hereinafter GDPR.
Controller for Your Personal Data
Our company, ICEHOTEL AB, reg. no. 556234-7426, tel: +46 980 668 00, email: info@icehotel.com, is responsible for the processing of personal data in our booking systems. We are also the controller for our marketing activities and email communications to our customers and other contacts.
Processing of Personal Data in Connection with Booking Bar Visits
In connection with bookings you make yourself or that are made on your behalf, we process personal data that we need in order for you to fulfil the agreement for booking and purchase of services. This concerns information you have provided to us directly or via an agent. We process, for example, information regarding your identity, your contact details, and your payment information. In some cases, we store your passport number. We also process other information you may have provided that is relevant to your stay with us. This may include information about allergies or special requests related to your stay. We register all purchases and orders you make with us, e.g., spa, restaurant, room service, so that we can deliver these services and so that you can pay for them.
We process this data for as long as necessary to fulfil the booking agreement with you, and for as long as applicable laws and regulations require us to do so.
We use key cards to log access at our hotel. We do this to prevent and resolve criminal activity and for safety reasons, including fire safety. We retain the access logs for 21? days [sic].
Processing of Personal Data for Marketing Purposes
When you subscribe to our newsletter, we store and use your email address to send news and offers from us.
When you register for our events, we store and use your email address to send future invitations in accordance with applicable rules.
We may also use your email address or telephone number to send news, offers, and invitations in accordance with rules governing existing customer relationships. Our legal basis for this is the Marketing Act.
We may contact you via social media with your consent or in accordance with existing customer relationships. To use social media as a communication channel, we must disclose your email address or phone number to the social media platform. Our legal basis for this is consent or legitimate interests.
You may withdraw the consent you have previously given us at any time. You can opt out of receiving marketing based on existing customer relationships. You can do this by sending an email to info@icehotel.com.
Commercial activities related to your stay must be agreed with the bar.

We process data, including personal data, to perform troubleshooting and correct errors, to improve our services and the technology we use, and to analyze users and user behavior. We also process personal data to verify your identity, including identity verification when using our digital services.
We anonymize data and produce statistics as far as possible, but we must also process personal data for development, troubleshooting, statistical, or security purposes.
